Real Estate Administrative Assistant • Full-Time • In‑Office Bryan Realty Group is seeking a detail‑oriented, highly organized, and proactive Client Care Coordinator to join our growing team. This vital role supports our agents and clients from listing to closing, ensuring that every transaction is seamless, legally compliant, and consistent with our high standards of service. This position is based primarily at our East Memphis/Germantown office, with regular time spent weekly at our Lakeland location. As a key member of our administrative team, you’ll be the go‑to person for handling contracts, coordinating communication between all parties, managing listing materials, and supporting the office with various operational tasks. Compensation for this role will be based on experience and qualifications. Responsibilities Coordinate the full listing‑to‑closing process, including file setup, document collection, appointment setting, and deadline tracking Serve as the primary point of contact for clients throughout the transaction, offering timely updates and support Communicate and coordinate with co‑op agents, lenders, attorneys, contractors, and other third parties Make frequent signage, keybox, and photography arrangements for listings Manage MLS, showing service, and CRM entry and updates; maintain transaction trackers, checklists, and internal systems Route buyer and seller leads to agents and assist with basic CRM follow‑up Create property marketing materials Create and send branded birthday, home anniversary, and thank‑you cards Support company events and promotions, including client, vendor, and team gatherings Answer phones, handle mail, maintain inventory of office supplies, and marketing materials Assist with meeting prep, technology setup, errands, and other general office tasks as needed Qualifications Able to work full‑time, in‑person at both our East Memphis/Germantown and Lakeland offices Valid driver’s license and reliable transportation for occasional errands Positive, solutions‑oriented attitude; team‑and client‑focused mindset Strong organizational and time management skills with the ability to handle multiple tasks and deadlines Flexibility to adjust on the fly and adapt to changing priorities in a fast‑paced environment Excellent written and verbal communication skills Proven ability to push through distractions and obstacles, take initiative, and drive tasks to efficient and effective completion Must be comfortable learning and using new software and systems Proficiency in Microsoft Office Suite and Google Workspace Real estate experience is highly preferred Experience with Canva and CRM database platforms is a plus About Company Bryan Realty Group is a local, independent, family‑owned brokerage rooted in collaboration, integrity, and a strong commitment to doing the right thing — always.
